Notice of RockSoc AGM
The Annual General meeting of the Cambridge Rock Society will take place on Friday 7th March 2003, at 8pm in the upstairs function room of the Graduate pub, Mitcham's Corner, Cambridge.
ELECTION OF COMMITTEE MEMBERS
Elections will take place for the Committee members 2003-2004.The posts to be elected are:
President
Secretary
Junior Treasurer
Events officer
WUS officer
Web officer
Token old person
Details of the duties of the various officers are given below. Any person wishing to stand for one of these posts must be nominated by 2 current members of RockSoc. Nominations should be sent to the Secretary (address below) Deadline for nominations to reach the Secretary is 11.59pm on 21st February.
Candidates for committee posts should submit a manifesto to the Secretary by post or email (as above) not later than 2359 on 21st February.
A vote will be taken at the AGM on whether to create a post of
Token young person

CONSTITUTIONAL CHANGES
The RockSoc constitution can be changed only at a General Meeting. Any person wishing to submit a motion to change the RockSoc Constitution should notify the Secretary of the proposed amendment in writing/by e-mail by 2359 on 21st February.
POSTAL VOTING
Any member who does not wish to attend the Annual General Meeting may request a postal vote. A voting form will be sent out and must be returned, to be in the possession of the Secretary not later than 2359 on March 6th. The voting form will enable the member to vote for committee members and on constitutional changes. Those members who have returned postal voting forms will not be eligible to vote in person at the AGM
SECRETARY'S ADDRESS
Nominations, manifestos, motions for the AGM and requests for postal voting forms should be either:
1) e-mailed to the Secretary at empp1, or
2) sent by post to Mrs R Watts, 190 Kendal Way, Cambridge, CB4 1LU, or
3) handed to the Secretary personally at a RockSoc pubmeet
Deadline for such submissions to the Secretary: 2359 on Feb 21st 2003.
DUTIES OF THE OFFICERS OF THE COMMITTEE
THE PRESIDENT has overall responsibility for ensuring the smooth running of the committee and of the Society as a whole. The President shall act as chairman of all meetings and has a casting vote in the event of a tie. The President is responsible for allocating work among the committee members and arranging 'filling the gaps' if other Committee members are unable to fulfill their duties.
THE SECRETARY deals with the Society's paperwork and admin. He is responsible for taking and distributing the minutes of all Society meetings and keeping a record of the Society's official activities. He is responsible for membership, including the maintainance of the RockSoc database and the sending of membership cards, and answering membership enquiries. He is responsible for sending out termcards and notifying members in advance of the AGM, and for arrnging the voting procedure at the AGM.
THE JUNIOR TREASURER is responsible for keeping the Society's financial accounts in order and for the audit at the end of the year. He is responsible for obtaining the signature of the Senior Treasurer on the Annual Accounts and submitting them to the Proctors. NOTE: the Proctors strongly prefer the Junio Treasurer to be a current student of the university of cambridge who will remain a student throughout his time of office.
THE EVENTS OFFICER is responsible for organising and publicising the Society's events (other than Wake Up Screaming). In particular he is responsible for organising live gigs, including booking the venue, hiring bands, exchanging contracts with bands, being present on the day of the gig (or arranging a proxy) to greet the bands at the venue and arranging for publicity for the gigs. He is also responsible for arranging other official events such as the AGM.
THE WUS OFFICER is responsible for organising the fortnightly Wake Up Screaming clubnight, and/or any other clubnight event promoted by RockSoc. He is responsible for liaising with the venue, arranging DJs, publicity for WUS, and for the smooth running of WUS on the night, in particular the manning of the door. He should be present throughout each WUS (or arrange for a proxy).
THE WEB OFFICER is responsible for maintaining the Society's website and updating it regularly.
THE TOKEN OLD PERSON is responsible for representing interests of the older members of the Society in decisions taken by the Committee. As a guideline, he should be 22 years or older at the time of the AGM.
If a post of TOKEN YOUNG PERSON is created, he will be responsible for representing the interests of the younger members of RockSoc in Committee decisions. As a guideline, he should be 21 years or younger at the time of the AGM.
