MINUTES 19/04/99
================

Present were all of the old and new committees except Vicky (still in Spain), Briggsy (couldn't be arsed) and Baz (no idea).

1. EGM
An EGM is necessary since we have to buy decks
for WUS as Roger isn't going to repair his again, and this will represent
the usage of a significant proportion of
Rocksoc's funds. Roger has suggested that we
get two separate units, however this adds about 50 percent to the price
of the stuff (1200UKP rather than 800UKP).
Jinx will have a peruse of Cambridge Sound and
Light to see what's on offer, then he and the WUS ossifers will go down
en masse to see what deals they can get.
Other business for the EGM: some minor alterations
to the constitution - to avoid people no longer living in Cambridge turning
up in ten years' time with no
knowledge of Rocksoc and voting, only members
currently resident in the Cambridge area will have voting rights. The quorum
for committee meetings will be
changed to 5/8 rounded down cos this is the magic
formula apparently.
The EGM will be held over the first half hour
of the first First Thursday of the Month wotsit on May 6 - see below.

2. May Brawl/Battle of the Bands
Bands won't commit unless we have a venue. We
spent the whole of last term trying to find one - we've contacted the Junction,
the Boat Race, the Corn Exchange,
Cambridge Red, that company that does riverboat
trips, the Fresher and Firkin, and looked at various other sites like colleges,
pubs, Strawberry Fair, and none of
the buggers could give us a date when we wanted.
There's now about six or seven weeks before the proposed date and so it's
unlikely that a May Brawl will be
happening. Instead, we'll have a trip to a club
- suggestions for where, please! London and Birmingham are the most feasible
distance-wise. Also, if there's a handy
festival and enough people who want to go then
there'll be subsidised transport.
NB Ozzfest are currently looking for a London
site to play, _in August_, for Sabbath's last ever gig, and there's also
Big Day Out in the middle of July or something.
In addition to that we could have a picnic on
pants. Or possibly punts.

3. Concurrency
With both committees at a meeting, there's too
many people and they don't all need to be there at all. So future meetings
will have only the new committee and
possibly a representative from the old one.

4. Flyers
A generic design for the next few months' WUSses
is being whipped up, and will be taken to glisson printers for a load to
be printed (there have been problems with
production of publicity for the last couple of
WUSses). In addition, a bundle of information flyers that we can hand out
to new members will be done, with
pub/wus/contact/FTotM/etc info on them. Also,
all the not-on-announce people will be snailmailed one of these, with a
"write to this address if you still want to be
kept up to date with Rocksoc info" thing attached.

5. First Thursday of the Month
Don't forget, folks! Fresher and Firkin, 6th May!
Giant Jenga! Cheap beer! Our own music! The second one, in June, _should_
be on the 3rd. Slap in the middle of
lots of peoples' exams. So we could move it to
the 10th, but then it wouldn't be the first thursday of the month. What
a dilemma.

6. Webpage
It's now open season on the webpage - please bear
in mind that the one which has been in place was knocked up by Alex in
a day as a trial type thing. Lots of the
waffle and typos like "Rocksock" are going to
be removed, pictures of the new committee, up-to-date info and a links
page added. So all comments to Alex.

7. Questionnaire
Kit proposed that we give people questionnaires
to do on the door at WUS to ask what they wanted. It was generally thought
that it wouldn't be a productive idea,
more useful would just be talking to them so
don't get scared if Kit starts talking to you... To check membership details,
a list that people can check on the door at
WUS will be useful, but we need to have people's
permission to store their name and address on computer (apparently if we
ask them, and are careful what we use it
for, we aren't subject to the Data Protection
Act).

8. AOB
An extra mailing list exclusively for events that
only committee members can post to, as announce gets spammed occasionally,
was proposed. Kit's going to badger
Dammerell about it.
Extra AOB about an hour later when we thought
of it - we need to do the becoming official thing.
