Minutes of the RockSoc Committee Meeting

Meeting opened: 2033
 
Oli would like it to be recorded that this time he arrived early at 2015. Oooh!
 
1) Minutes for approval
It was noted that I have recorded that Oli told himself to piss off. This is not in fact the case; it was Oliver who told him to piss off. The Secretary proposed that in future the members should be discouraged from electing two committee members with the same name as it was unnecessarily confusing.
 
The minutes were approved.
 
2) Treasurer's report
The treasurer opened his report by displaying the evil grin that he has clearly been practicing.
 
Baz asked Oliver if he had a current bank statement. Oliver said that he had forgotten to obtain one. Baz described to the committee some interesting methods of torture and displayed his own evil grin, which is even more disconcerting than Oliver's. Oliver said that he would get a statement for next week.
 
Oliver then adopted a suave manner, and punctuated his report by waving a cigarette elegantly but forgot to light it. He said that he would hazard a guess that the bank account contained about L500 (note that we owe Baz L1000). He produced a neat and efficiently maintained account book, which is complete up to the end of July, after which 'it goes pear shaped'. He claims that this is because 'some things are going into the account stealthily' and hence the bank account contains L40 that he can't account for. It was observed that this is better than things leaving the account stealthily. Several guesses about the identity of the stealthy money were suggested, including a payment of WUS money, or a correction of the L40 accounting error we wrote off a few months ago
 
Baz asked if Geared 4 had cashed their cheque yet. The treasurer reported that he had not the slightest idea. Baz requested that he have one by next week.
 
Emma has pestered the Societies Syndicate and has received a letter from them saying that they expect to have finished by next week. Baz said ':-)'.
 
Oli handed the treasurer the receipts for the Wacken trip. The treasurer asked him for the money which he had embezzled ( about 75p). Oli said that he had not embezzled it from the Society per se but from the Wacken trip attendees. Oliver nevertheless expressed an intention to deduct 75p from the next payment the Society makes to Oli.
 
Oli then asked an Oli-type question, namely whether the treasurer was in possession of receipts for all monays paid during the term of office of this committee. The answer was 'Yes, except for the Graspop trip...and one that the Secretary lost while she was drunk'
 
The Societies Syndicate have cashed a cheque for the Societies Fair, so it is reasonable to assume that we will have a stall there.
 
 
ACTION: Oliver to get a bank statement and find out if Geared 4 have cashed their cheque. Then to fill in the account book up to date. As best he can when faced with the stealthy behaviour of RockSoc's money.
 
3) Fresher's week
The Secretary pointed out 1) That this is now only 5 weeks away and that 2) therefore it was becoming out first priority.
 
To be arranged are
 
A) The Freshers Gig
RockSoc received a mail from an agent inviting us to promote a Metal Hammer Approved/Advertised gig in October. The projected cost of this gig to the promoter was around L800. The committee decided that we cannot afford to risk that kind of money again, especially as the door take at the Boat Race for our own gigs is usually about L200.
 
The committee discussed whether to offer him the date we have booked at the Boat Race to find another promoter, but it was felt that if he did not find one we would then be without a Freshers' gig. It was decided that we should keep the October 19th date and put on a Freshers' gig of our own.
 
So far Geared 4 are confirmed to play. Emma has not spoken to the Positives yet because they are not answering their phone. If anyone sees them they should offer them the gig; if we haven't found them in a week we will look elsewhere. Elizabeth pointed out that Kevvlar have been looking for gigs; they could be hired cheaply. It was agreed that if we saw any of them we should ask them too. Oliver offered to ask Stan if he knew of any cheap bands.
 
B) Termcards
Elizabeth said that last time the cost of the termcards was about L150 which is quite a lot of money and suggested that we dispense with them. The rest of the committee disagreed, but in order to save money it was agreed that physical termcards would only be sent to those people without valid e-mail addresses in the RockSoc database; an e-mail version would be sent to the others, and people who regularly turned up to RockSoc events would be handed their termcards to save postage.
 
The last set of termcards cost L86, and there is no reason these should cost more.
 
In order to print a termcard we need to have a list of dates for events. Emma agreed to compile one of these for next week. In addition to the WUS and Calling dates, the following dates were decided:
 
Pub crawl: 24th October (Baz to organise) Baz described a complex system he has devised for rating public houses, and a map he is creating with small coloured flags on it to record his findings. The committee agreed that Baz and public houses were a natural combination and that he should arrange the pub crawl.
 
Christmas quiz: to be held on 'the Thursday after the Wednesday term ends it should be easy to find out when that is'. Some members thought this might be the 5th December. Baz agreed to provide questions for this too.
 
Oli requested that the Secretary bring a calendar to future meetings of the RockSoc committee. He then demanded that it should be an Iron Maiden calendar. The Secretary said 'Fuck off'.
 
The other RockSoc gig of the term is on 22nd November.
 
C) The question of a flyer to hand out to Freshers to generate interest in RockSoc was raised. Oli and Baz had a vigorous debate about how many years it was since RockSoc had last had one of these. It was felt that a flyer to hand to Freshers would be good. The Secretary wrote 'Ongoing' in the minute book.
 
D) College reps: it was agreed that these should be arranged _after_ Freshers' Week when the new members are here. We can call for volunteers in the Freshers' e-mail that we send out.
 
ACTION: Everyone to seek the Positives
Emma to bring a list of dates/ proofs of the termcard to next meeting for approval
Elizabeth to buy a calendar and write the dates on it.
 
9) Website
Oli requested that this item be moved up the list because he had to leave before the end of the meeting. He then stayed to the end, although he was talking to people over his shoulder for some of the meeting rather than paying attention.
 
The events for 2001 have been added in a basic format; links to reviews and bands are still needed.

Oli should add the dates just decided to the website.
 
Oli said that Admin was about to be born. He also said that he is liaising with a new Goth website to get cross publicity.
 
Baz said that the UK-wide RockSoc thingy seems to be working well, but he doesn't understand it. If he feels sure that if he did understand it he would find it really helpful. Oli offered to help him understand it.
 
ACTION: Oli to chase lots of people and put some links on the 2001 events
Ben to supply setlists/DJ lists
Elizabeth to sort out those minutes.
 
4) The November gig
Oliver suddenly stated that he abhors the man who did his dental work. This inspired Baz to inform the Committee that he abhors Amersham Pharmacy Biosciences. Emma said that she is pleased that her niece passed her GCSEs.
 
Oli asked when the trip to buy shiny leggings in Mill Road would be. Baz said that this was Still Not RockSoc Business, just as it was Not RockSoc Business last week when Oli tried to raise it, neither had it anything to do with the matter under discussion. The President has spoken.
 
Baz suggested that in order to save money we use this gig as an opportunity to showcase bands containing RockSoc members, which would have the particular advantage that we wouldn't have to pay them. Oliver and Elizabeth grinned evilly and approved of the idea thoroughly.
 
5) Bloodstock
We still don't know how we're getting there. Baz adopted a presidential manner and told Oli to sort it out. Oli refused to book a bus unless he was paid in advance; some people paid him. Oli should ask Ian Campbell if he would drive a minibus for us.
 
ACTION: Oli to arrange some way to get the members to Derby on Saturday next.
 
6) Band database
Ongoing. You know what that means in RockSoc minutes.
 
7) WUS
Ben says that he has bought an accounts book to record future WUS takings. Oliver said that he wasn't getting the doorsheets from Ben; he needs them to keep the accounts.
 
Elizabeth asked about WUS flyers. Emma's computer is dead.
 
ACTION: Ben to give Oliver doorsheets next WUS
 
8) Membership books
The membership books haven't been swapped for a few weeks. Elizabeth will bring a book to WUS next week and then process the memberships from the last few WUSs.
 
Baz mentioned that an American called Chris is going home next week and would like a card before he goes. Ben will tell Elizabeth who he is and she can bring the card to WUS. Otherwise, bring a blank one.
 
ACTION: Elizabeth to bring the book to WUS.
Ben to tell Elizabeth about an American.
 
10) Abhorring etc.
Oliver still abhors his dentist.
Emma abhors self righteous pensioners
Oliver said that he likes beer. Baz said 'Me too'
Baz likes the Kingston Arms, which is somewhere off Mill Road
Baz likes his bacteria because they are all changing colour at exactly the right time.
Emma loves her job.
 
11) AOB
Oli asked Oliver where the pool games advertised to take place this meeting had got to. Oliver pointed to the conspicuous pool table on the other side of the room and the members leaning over it with long pieces of wood in their hands and replied 'Over there you twat'.
 
Oliver offered to organise a pool tournament next week. The rules are to be winner stays on for a maximum of 3 games. At the end of the night the person with the most won games is the winner. A running total will be kept for a termly championship.
