MINUTES
14/06/99
The meeting was started at 2045 BST. Iain was
the only absentee. This was noted as being very unusual and also would
prevent some items being discussed. The agenda was reshuffled in the hope
that he would arrive later. Also present was DJ; a few others looked on.
1. (a) Leaving members’ contact details.
The Secretary expressed concern that graduating
(life) members would leave without providing future contact details. It
was decided that in order to help keep track of people, La Presidenta would
post to r/s-official and ask that anyone changing postal and/or email address
inform the Secretary.
(b) Contact details for the committee over
the holiday.
So that the committee can communicate over the
long vacation, it was agreed that everyone should post their holiday contact
details (telephone/address/email) to r/s-committee. The Web Warlock admitted
to not knowing exactly what the address was, and said that he could not
remember if he had ever received anything on it. The Secretary tried to
spell out the correct address and failed spectacularly with far too many
‘I’s in ‘committee’. Clearly the excesses of the last few days had taken
their toll. He was not alone.
2. Problems with the mailing lists.
A small number of people had discovered that they
were not on the r/s-official mailing list, but were on r/s-announce. This
had occurred because their email address was not held in the RockSoc database.
It was noted that some of these "omissions" were not the fault of the committee,
as a few members had given different addresses. It was proposed that DD
should set up and run periodically some sort of check for people subscribed
to r/s-announce but not r/s-official. If found, either an email explaining
the situation would be sent out or the address would automatically be subscribed
to r/s-official. There was some concern that the second option was a little
authoritarian; people unsubscribing from r/s-official for whatever reason
who were subscribed to r/s-announce would be automatically resubscribed.
The only way to stop receiving just the r/s-official posts would be to
disable delivery. It was agreed that an email should be sent out to new
subscribers explaining this. The committee voted 4-0 in favour of the automatic
subscription option.
At 2056 BST, DJ announced that: "Iain must be
dead". This was followed by Baz whinging about his brother, and Iain’s
arrival. Alex went: "aaagh" and Oli declared a 2-minute break for Iain
to get some beer.
3. Running RockSoc over the holiday.
It was agreed that the Token Fogey will take over
the selling of the RockSoc t-shirts from La Presidenta, and the WUS Officer
will take over the finances from the Treasurer. The Web Warlock informed
us that he would be able to update the website remotely and requested that
alterations be emailed to him before Saturday each week. The WUS Officer
will also take over the membership book/cards from the Secretary. It was
suggested that the committee could meet on IRC, but that was dismissed
as ‘not possible’; email should suffice to keep everyone informed.
WUS will continue, and hopefully break even. It
has to so that we can keep our regular slot at the Q-Club, and also to
provide for non-student members. It was noted however that not many would
come when it was likely to be so quiet. It was suggested that we should
"make Jinx personally responsible for keeping the bar takings up".
It was agreed that there would be no FTOTM until
October. At this point the Web Warlock had to be convinced that term started
in October and not September. The Secretary looked up the dates agreed
at a previous meeting for events at the beginning of term. They are reproduced
here to remind people:
7/10/99 - FTOTM @ F&F
11/10/99 - 1st Monday pub meeting
12/10/99 - 1st WUS
Jinx is to see if we can book the F&F soon,
since there is nothing to lose by booking well in advance, and there could
well be competition for the venue – we do not want to lose out after agreeing
on the date.
4. May Brawl losses.
Too much rain last Saturday caused flooding of
The Locomotive and forced the cancellation of the 1999 May Brawl. The WUS
Officer informed us that RockSoc had lost £70 in the hiring of equipment
(drum microphones and lights). This was expected, but donations on the
door may have offset this. He explained that neither Through The Red or
Zerotonin had asked for the money that we were going to pay them (£30
each) and so they had not been paid. It was proposed that we should pay
them anyway, since the cost to RockSoc was not huge and they had lost out
due to the cancellation (Zerotonin had spent over £700 coming to
Cambridge, and only made a few pounds by selling a couple of their tapes).
The committee voted 5-0 in favour of paying Zerotonin £30. It was
agreed not to pay Through The Red as they had turned up late (with vital
equipment).
The total loss therefore was £100.
‘DJ’ suggested that next time we should perhaps
take out "event insurance". Although we only lost more or less what we
were expecting to, it would cost us that again if we were to reschedule
the event. We were informed that it was relatively cheap and worth it even
for small events. It could also cover us for accidents and/or injury. It
is therefore NOTED FOR NEXT TIME.
There then followed much discussion as to what
"next time" should be. A Christmas event (i.e.: live music of some sort),
in addition to or at the same time as the winterval dinner was proposed.
It was noted that with much more time to organise something, a better venue
could be obtained, such as the Portland Arms. It was generally agreed not
to go for The Locomotive again, since the owners were not particularly
‘metal-friendly’.
So as not to clash with the winterval dinner,
or other events going on near Christmas, it was suggested that the event
be held in January, at the start of term instead. This was deemed unnecessary
and it was agreed that the preferred solution was to have two events at
Christmas. We would attempt to break even by taking money on the door.
Any profit would be able to be put towards the next one. This led us into
thinking that we should try and have more frequent live music, perhaps
at the end of each term (complementing our current line up of weekly pub
meets, fortnightly WUSes, and monthly FTOTMs). Baz suggested that we should
aim for "fairly decent bands" and it was agreed that we could well get
some big(ish) names, although maybe not straight away – we would first
need to see how things went with a similar line up to this time.
Iain informed us that bands were not really a
problem – we had had several available to choose three from this time.
He continued: "Zerotonin are probably stupid enough to try again". We were
also told that Epitome who played last year were said to be keen to play
again (and were not considered this time simply to ensure it was different).
Therefore it was decided to try and organise some live music for Christmas.
5. Grant from the CU societies’ syndicate.
We have been offered £400 to help with the
cost of our DJ equipment. The only conditions are that we can afford the
rest (which we can since we have already bought it), and that it is properly
insured when not kept in a college room. Iain told us that it is insured
at the Q-Club until the end of the summer. After that it will be kept in
Iain or Jinx’s house. Both are to look into modifying their contents insurance
appropriately.
6. AOB.
Dubbed "Any Other Bitching" by DJ.
It was decided not to continue the "what you’ve
actually done" thing.
The Web Warlock was asked if any progress had
actually been made regarding the website. He told us that he had included
a "last updated…." thing on a page that was inaccessible. The rest of us
despaired.
