MINUTES
22/11/99
 
The meeting was called to order at 2052. All
were present except La Presidenta, who was at a "Girton official event".
The Secretary again apologised for being late and not having done the minutes,
although he was pleased to show the rest of the committee the new secretarial
notebook that he had purchased (a WHS one with a translucent blue cover).
 
1. Brumfest.
The ticket price had been increased by £1
and it was agreed that Rocksoc should cover this (although any further
tickets would be sold at the new price and voluntary donations would of
course be accepted – there is to be an eggcup on the bus). According to
the organisers, the extra money was needed because of ‘unexpected costs
with the bands’. We had been told that there was a slight possibility that
the extra £1 would be refunded, if it were not needed. It was agreed
that if we were given cash, it should go to Rocksoc funds, and if we got
beer vouchers then Oli & Iain will drink it.
The money for 43 tickets (at the new prices) had
been sent, and the Secretary informed everyone that the proper tickets
had now arrived; these are to be given out on the coach to minimise the
possibility for losing them. We had been sent 53 so we are able to sell
more at the advance price (and pay the organisers more later if necessary).
The Secretary is to have a list of names and count
people onto the coach (& give out the tickets/flyers/maps); he and
the WUS Officer are to be in charge. It is to be found out when it will
be arriving.
The coach company had told us that they would
like cash on the night, however the Treasurer informed us that he would
not be able to be there with the money for the driver. He said that he
would be rehearsing with the rest of Vae Solis who "can only come down
on Wednesday". It was pointed out that they would be required on Saturday
aswell and there was henceforth much laughter. The Secretary was given
the job of getting the money and so the Treasurer wrote him a cheque with
a purple felt tip pen.
 
2. Dr Greaves as Senior Treasurer.
The Secretary announced that he had been asked,
and had provisionally agreed. The WUS Officer told us that we need to send
a letter to the Procter when we have confirmation from him. We were informed
that he had once been seen wearing a white suit, however he was still thought
to be OK.
 
3. X-Fest band samples.
As these have not been linked to from the website
(and the Webmistress was nowhere to be seen), it was agreed to email r/s-official
with their location.
 
4. X-Fest insurance.
We were informed that it seemed that the CUSU
events insurance was against stupidity (the event making a loss due to
bad organisation) rather than acts of god, as they had told us that their
insurance did not apply to our gig (and therefore they must either hate
us or not have a clue). The cheapest quote was £150, and it was pointed
out by the WUS Officer that we could not lose that much by either the Portland
Arms having problems and us having to pay the bands anyway, or by one/both
of the bands having problems and us having to pay the Portland Arms anyway.
It was therefore decided to not bother with insurance. Personal liability
would be covered by the Portland Arms’s insurance.
 
The meeting was closed at 2115.
