Minutes of the RockSoc Committee meeting
13th May 2002
Present: Baz, Elizabeth, Emma, Peter, Ben (and Andy M from the outgoing committee). Oliver after 2110

1) Minutes
Jimmer has said that he had been misquoted. The committee agreed that it objected to his objection. They passed the minutes anyway.
2) WUS publicity
The flyers and posters have not yet been produced. Andy has made them available on his website. They need to be printed in time for the gig on Saturday. Emma will get the file from Andy's website and cause the flyers to be printed by Saturday.
Elizabeth surveyed the recent track record of the committee and suggested that it organise a piss up in a brewery. Emma pointed out that the Graduate was a brewery until recently, and we tried to organise a piss up in it on Friday. The organisational problems arising are minuted elsewhere.
Esquire magazine has mailed the committee to ask if it can give advance copies of Korn's new album to be played at WUS on 4th June, and also if it can organise a giveaway of Korn merchandise at that event. The committee hypothesised that they would do their own publicity for this. It was agreed that we should co-operate, and that Ben should get back to them and agree ASAP.
Elizabeth has put the WUS on July 2nd into the club listings in the NME. Baz has asked Terrorizer, Kerrap! and Mental Hamster if they can feature WUS but has not yet heard back.
ACTION: Emma to cause the WUS flyers to become physical.
Ben to get back to Esquire magazine RIGHT NOW as their print deadline is almost certainly about Wednesday this week if other mags are anything to go by.
3) Gig on 18th May (this Saturday)
All bands are now confirmed. The bill will be AR, D-void and Asylum. Doors will be 7.30pm, first band at 8pm. The usual prices will be charged i.e. L5/l2.50 advance, L6/L3.50 on the door.
It was mentioned that when Asylum played the MitM last week they brought loads of chuggawheees with them. This was felt to be encouraging.
Andy will ask the bands to speak to each other about sharing kit. Emma asked if there were any special dietary requests for the rider. Andy will ask them about this too.
Baz and Emma volunteered to be at the venue at 5pm to greet the bands.
AS yet no publicity at all has been done for this gig. Emma said that it was now rather too late to get any flyers printed. We need flyers for the Alterna-WUS and the 24th gig to distribute on Saturday. Emma will arrange this.
IN order that members may be made aware of the gig on the 18th, Emma will make a few posters, and Baz will post details to -official. Elizabeth will put the event on the Varsity website and the Kerrang! website (it is now too late for the paper editions of either)
ACTION: Emma to prepare posters for this event. Also posters for later events to put up at this one.
Baz and Emma to be at the Boat Race 5pm on Sat.
Andy to contact the bands about final arrangements.

4) Gig on the 24th May
Rome Burns and Projekt have now been confirmed for this date. Elizabeth will put these on the Varsity and AdHoc website too.

5) MayBrawl
The Junction have not put the gig on their 'Junction' flyers. Or on their website. It was felt that they could at least put it on the website. Emma will hassle them a lot about the aforementioned website.
DarkCell have confirmed that they want to play this date. Blackrock (support band) are awaiting confirmation from us via Jimmer that they will receive the expected remuneration. Emma will mail Jim asking him to give this confirmation.
Andy also needs to go over some FINAL DETAILS with Kill II This
It has been suggested that we add Killing Miranda to the bill. It was felt that this might attract goths. Emma will speak to them.
Publicity: Elizabeth will put listings in Kerrap!, NME, MH, Terrorizer and Varsity (although since the monthlies go to press this week it may be too late)
Radio mentions are already going out (yippee!). Many thanks to Jason.
Emma showed a proof of a poster which she has made. She will make some of these and give them to Baz, who will arrange for them to be distributed.
ACTION: Emma to speak to the Junction about the website. And to Jimmer about RockSoc. And get some of her excellent posters printed. And speak to Killing Miranda.

6) Where are the membership books?
This is a very good question. The committee, prompted by Oli, took one to the Sick and the Dead. Owing to the extreme drunkenness of the Committee by the end of the event, and especially of Elizabeth, whose responsibility it was, the membership book was never seen again. The charity collection was also lost by the committee, but has since been found. Baz tore Elizabeth off a strip for this incompetence.
The Graduate have not seen the membership book. It was asked how many unrecorded names were in the membership book. Elizabeth said that the book had not been used since she became Secretary, and that presumably Emma had entered all the names in it in the database. The book does have a sticker asking that it be returned to Baz (at the correct address) or Oli (at an expired one) Oli should ask the porters to look out for it.
ACTION: Oli to ask the porters to look for the minute book.
Elizabeth not to get drunk and lose the Society's effects again.
7) Donington
Baz asked for interest and only 4 people were interested. It was therefore decided that a minibus was not called for, and RockSoc will not be organising transport to this event.
8) Other festivals
Andy H is presumed to be making advances in organising Wacken. He has kindly prepared the arrangements for Graspop.
Various other events this summer which might be of interest we mentioned. These included:
Bloodstock (end of August, in Derby, Blind Guardian and loads of other good power/trad metal)
The Bulldog Bash: (9th 10th August, Staffordshire, Queen Adreena, Rollins Band and Orange Goblin confirmed)
It was suggested that Baz distribute flyers for WUS and other RockSoc events at the Cambridge Beer Festival. It was felt likely that Baz and the beer festival might well get well acquainted :-)
9) Events for October
Emma will e-mail committee this week with possible dates when the Graduate and the Boat Race are available in mid October. An ideal plan would be for two consecutive nights, the first a squash at the Graduate, the second a gig at the Boat Race.
D-void and Vae Solis were provisionally suggested for this, as both bands are known to be very popular. And good.
Elizabeth has not been approached about the Fresher's Fair. She has heard that this is because CUSU infighting has delayed arrangements. She will contact CUSU immediately to ask what goes.
ACTION: Emma to suggest dates for Freshers events this week.

10) Termcards and membership cards
All termcards to non-University addresses have now been posted (Second Class, so they might take a day or two). Some Colleges have been delivered to. Andy offered to deliver cards to Magdalene, and Ben took those for Christ's. Elizabeth will deliver the remaining Colleges tomorrow.
Baz suggested that she computer print envelopes in future. Elizabeth, who has spent many a happy 12 plus hours trying to get the spacing right in the past, declined.
The membership cards FINALLY went to the printer on Friday, because of a misunderstanding at Mail, Boxes etc. But at least they are spelled right. They should take about a week.
11) Possible alternative venues for WUS
Taff, who is extra efficient and should be commended, produced an admirable document summarizing costs, advantages and disadvantages of different venues. There did not appear to be any better candidates at the present time, so a suggestion was made by Ben that we might need to raise prices at WUS by another 50p, since the cost of hiring the Kambar is at least double the cost of hiring the Q, and numbers have not increased. It was pointed out that compared to the bar prices at the Kambar, 50p was peanuts. As an example, he pointed out that this would increase the profit on term nights by 100 per cent, bringing the profit to levels close to the Q club's. No firm decision was made at this time.
12) The mandate
Everyone who needed to signed this. The bank requires that the following resolution be entered in the minutes:
" We certify that the following resolutions were passed at a meeting of the Committee of RockSoc held on 13th May 2002 and have been entered in the minute book
i) that a bank account or accounts be continued with HSBC Bank PLC ("the bank") and the Bank is authorised to:
a) pay all cheques and other instructions for payment signed on behalf of the Society by any two of the President, the Secretary, the WUS officer, the Ents officer and the Treasurer ("the signatories") whether any account of the Society is in debit or credit;
b) deliver any item held on behalf of the Society by the bank in safekeeping against the written receipt of the signatories; and
c) accept the signatories as fully empowered to act on behalf of the Society in any other transactions with the bank
ii) That any debt incurred to the bank under this mandate shall, in the absence of written agreement by the bank to the contrary, be repayable on demand.
iii) That the Secretary is authorised to supply the bank as and when necessary with lists of persons who are authorised to sign, give receipts and act on behalf of the Society, and that the bank may rely upon such lists.
iv) That these resolutions remain in force until cancelled by notice in writing to the bank, signed by the chairman or Secretary acting or claiming to act on behalf of the Society, and the bank shall be entitled to act on such notice whether the resolutions have been validly cancelled or not.`
ACTION: Baz and Emma to go to the bank with the Mandate and IDF and then tell the other signatories when to start going to the bank themselves with ID.
13) AOB
Emma suggested putting the MayBrawl in the Cambridge Weekly News as she departed into the toilet.
No-one being able to think of anything else relevant to say, meeting closed at 2146.
