Minutes of the RockSoc Committee meeting
10th June 2002
 
Present: Baz, Elizabeth, Emma, Peter, Oliver. Ben and Oli later
 
Meeting opened: 2029
 
1) Minutes of the last meeting for approval
Emma said that it should be recorded that this was the first RockSoc
committee meeting in recorded history which actually opened on time.
Elizabeth mentioned that she liked Limp Bizkit, and also that she wanted the
committee to kill her. Emma asked if we could mandate the committee to
kill Elizabeth.
 
At this point the committee decided to actually transact some business in a
sensible manner. Emma stated that last week's minutes were incorrect about
the amount of time that she was unconscious during the meeting, and it was
substantially longer than recorded.
 
It was noted that the misprint in last week's minutes whereby members were
in error instructed to ask Porters if they could 'hire cheap punks' rather than
'cheap punts' had been corrected. Emma wondered whether the Positives
would float if you put them in the river. Elizabeth suggested drawing a
cartoon of a Porter showing the RockSoc committee a row of punks holding
signs with prices on. The legendary helpfulness of Cambridge Porters was
discussed by the committee. The committee agreed that helpful porters was
indeed legendary.
 
Oli reminded us by e-mail that we should note that when we decided not to
cancel the MayBrawl a few weeks ago we did in fact discuss a number of
possible contingency plans and not just decide to go ahead with pig headed
stubbornness. Let it be so minuted.
 
2) Treasurer's report
The treasurer's report happened in installments throughout the meeting as
various members carried out an assortment of financial transactions at
random throughout the meeting. By the end of the meeting, the following
was the financial position:
 
Cheques from members for L800 had been paid in for the Wacken trip.
There is a cheque for L19 from a Mr Brockman for MayBrawl tickets and
membership to be paid in.
 
Outgoings: L41 to Matt Pitts for expenses incurred at the Enchanted gig.
 
The money from WUS has not yet been banked. The WUS profits were L19.
Baz has the door sheet. Ben should have it
 
The tickets for the MayBrawl are on sale or return from the Junction so as
yet there is no income to RockSoc for the MayBrawl; we have to pay the
Junction for the tickets at 5pm and they pay the same money back to us at
11pm. Just don't ask, OK.
 
Ben arrived
 
Baz and Oliver went to see the Proctors last Wednesday, but the Proctors
don't exist on Wednesdays. They went to see them today as well. The
Proctors were found to exist on Mondays. The Proctor was very helpful, as
he is used to committees inheriting fucked up accounts. He says that we
need not submit a full version of last years accounts, but a summary sheet
listing expenditure, and income (adding up to the money we possess) will
do. We need to submit it by July.
 
Oliver said that there was currently a discrepancy of L70 in the accounts.
L17 of this was already missing last year, said Emma, the rest has apparently
evaporated since. The Proggins recommended that we write off this amount,
since we believe it to have been mislaid through committee incompetence
and not embezzled. Presumably Societies do this kind of thing all the time
too.
 
A vote was taken on whether to write off the L70

Elizabeth mentioned in passing that it was good practice for committee
members not to drop the unlocked WUS box while trying to catch pigeons in
the market square at 2.15 am. She also stated that she did have memories of
some parts of last WUS, but asked if anyone knew what she had done with
her money at the end of the night.
 
ACTION: Emma to bank the WUS takings and return the WUS box to Ben.

3)The MayBrawl
The arrangements for the MayBrawl now look very promising for the first
time, mostly because of Baz and Emma's hard work.
 
To date (as of the close of the meeting) 31 tickets have been sold, 10 by the
Junction and 21 by us.
 
Peter claimed that he had been embezzling tickets for the MayBrawl at the
last WUS. Lots of them in fact. The committee didn't believe him.
 
Advertising activity this week: we have flyered every metalhead at the
Strawberry Fair. Jimmer was predicted to arrive soon with another 200
flyers. Baz has arranged for CU radio to plug the gig during rock-related
shows. The gig has been mentioned on net.goth
 
Elizabeth met one of the Panic! organizers at the Boat Race on Thursday.
She said that if we gave them some flyers they'd give them to Panic!
customers. The chair asked if anyone would give them flyers. The members
considered the distance from the Alma to the Sophbeck and declined to shift
their arses. However, flyers were delivered after the close of the meeting.
Allegedly.
 
My spellchecker doesn't know the word arse.
 
Ben and Emma volunteered to flyer the 6th form colleges.
 
Meeting adjourned at 2044 in order to sell membership and MayBrawl
tickets to a man named Brockman who had just appeared. During this, Baz
showed Oliver where the date went on a cheque.
 
Meeting reopened at 2048, then immediately adjourned again while Matt
Pitts bought some MayBrawl tickets and demanded to be paid for some
cucumbers. He was also given L30 which he had accidentally put in the
Events box one day. As you do.
 
Meeting reopened 2053
 
Matt sold the Chairman a Vae Solis CD.
 
On the night of the MayBrawl, Emma will arrive at the Junction at 1pm to
talk to the techs. The bands have been asked to arrive at 3pm. Kill II This
have asked for a 1 hour soundcheck. This will give the other bands plenty of
time to soundcheck when they have finished.
 
Emma is talking to the bands about drum kits.
 
Rider: Emma will order pizza for them. Siobhan will buy some beer. Baz
asked, with an evil expression, who would look after the beer in the interim.
Several alcoholic members of the committee volunteered enthusiastically to
do this. Elizabeth suggested sharing the work...everyone to look after half a
dozen bottles. Ben said that next year we should advertise for a straightedge
committee member as Looking After Beer officer. Siobhan offered to bring
the beer to the Junction at 3pm Thursday.
 
Emma has spoken to all the bands about payment methods. All 3 bands have
said that we can pay them by cheque on the night.
 
Emma has been speaking to Kill II This and all potential problems with them
have been eliminated. They are pleased that we did what they asked about
ticket prices.
 
Oli arrived 2058.
 
He was wearing a pretend chain mail shirt. A knitted, woolly one.
 
Kill II This have been contacted about contracts. Apparently the fearsome
contract was a product of their management company not them. Although
there is no signed contract, there is a written confirmation of booking, which
will fulfill most of the legal requirements, and Oliver pointed out that print
outs of e-mails are held to be admissible in court :-)
 
On the matter of the Societies Syndicate, Oliver has spoken to one A. Myers,
and has prepared and delivered forms asking for a L900 guarantee against
loss. The Societies Syndicate will contact us when they have made a
decision/seen what actually happened to the MayBrawl. He also pointed out
that CUSU had given us the wrong form to fill in. This did not surprise the
committee at all.
 
ACTION: Ben and Emma to flyer 6th form colleges
Emma to go to Junction 1pm Thursday
Siobhan to buy beer and bring it to the Junction at 3pm on Thursday
Oliver to study Mr Brockman's cheque carefully as an example of a correctly
filled out cheque, with particular reference to where the date goes.
 
4) The Cancelled WUS
We completely forgot to tell members about this at the last WUS. The next
WUS is in fact cancelled because of a prior/annual booking. However, the
club will be occupied, so at least people who turn up will know what's going
on.
 
Ben will mail official.
 
Unfortunately the Junction won't let promoters make any announcements
during gigs. They will probably let us put up a couple of temporary posters;
Emma will ask them. Ben offered to make the posters. Elizabeth suggested
that they might allow Taff (who will be DYing) to make an announcement
since this would be between acts not during the performance. Emma will ask
them about this too.

5)Punt party
Elizabeth has suggested changing the advertised date of the punt party, from
20th to 19th, because she is organising it and she works on Thursdays.
Events tend not to run very well when the person running them is 20 miles
away. This was agreed by the committee. She has e-mailed the change of
plan to -official.
 
The punt party will be on Wed 19th June starting at 1.30pm. Place tba,
depending where we hire the punts.
 
Several people have expressed interest, including one possible offer of a
punt. It looks as if the number of punts required will be 3 or possibly 2. Ben
suggested asking the previously present Mr Brockman.
 
Oliver was observed to be having some trouble wearing his jacket correctly.
It appears that he cannot dress himself yet. (Or fill out cheques.)
 
ACTION: Elizabeth to organise the party.
 
6) Freshfest
Baz has e-mailed Geared4 and AR. Emma has mailed Dust. Ben has mailed
Vacant Stare again, as they didn't feel like replying the first time. So far no-
one has replied.
 
Baz mentioned that a local pop punk band has asked for a gig, and that they
might be a good addition if one of the others can't make it. Elizabeth asked if
it was the one that sat at the front of her Year 10 Science class and drew
warlocks on the table. Baz said he didn't know. He may have made some
remarks which might be interpreted as a desire to procure female year 10
students. Allegedly.
 
ACTION: Those who did do before to mail the bands again.
 
7) Freshers week
No reported sightings yet of any communication from CUSU about the
Societies Fair. This did not surprise the committee, as their competence has
been recently demonstrated in the matter of the form mentioned above.
Elizabeth will go and ask them again.
 
Peter has offered to get a stall at the CCAT^H^H AHEC^H^H Anglia
Poly^H^H APU Societies Fair too. Elizabeth asked what his educational
establishment were calling themselves this year.
 
ACTION: Elizabeth to hassle CUSU again.
 
8) September gig
Baz stated that he had this in hand, apparently consisting of mailing lots of
bands who don't reply. He is getting some useful suggestions from Stan at
the Boat Race.
 
9) WUS publicity
Elizabeth met one of the Panic! organizers on Thursday and suggested a
reciprocal flyering of WUS/Panic! The committee agreed that it was good
idea in principle.
 
Baz said that when he saw the word 'Panic!' on the agenda it reminded him
of the MayBrawl.
 
Kit mentioned that she could manage to do Ian Hill. Oliver offered to do
Rob Halford. Two days later Jimmer noticed that this might be interpreted as a double entendre.
 
10) Oli's question about minutes
Oli asked why some things which were said at meetings didn't get minuted.
Oliver asked how stupid Oli was. It was agreed that our position was that
business/decisions must always be minuted but that random discussions,
insulting other members, recording the level of drunkenness achieved and
commenting about whether people could put on their own clothes were
optional, and only put in if either interesting or funny. Otherwise the
Secretary wouldn't have finished typing them up by this time next week.
 
Oli and Baz started arguing about the MayBrawl again. Elizabeth gave some
Fire and Forget tabs to Siobhan.
 
11) Festivals
Wacken: the airline have kindly changed the time of the flight to Hamburg
so that we would be arriving at Wacken about midnight. This would not be
good, as last year the campsite was not floodlit. So we have gone for the
alternative, which is to leave Cambridge at 3.10am and fly at 0640
aaagh.This is the same flight RockSoc used last year and noone was reported
to have died of exhaustion. There are buses to Stanstead at that time in the morning. Bloody hell, I'm glad I'm not a bus driver.
 
Taff asked if he was DJing on Thursday. Emma said 'yes'.
 
Oliver wished it to be recorded that he objected to the unprecedented level of
sobriety displayed by the committee this week. Elizabeth remedied this after the meeting by drinking the half a bottle of vodka he unwisely left
unattended at her house
 
 
Graspop: Andy H was present and delivered a report. Everything is set for
this trip. There is one spare place if anyone wants it. He corrected a report in
the minutes some weeks ago that the subsidy for Graspop has been paid. The
deposit for the bus has been paid, but not the rest of the subsidy. This will
probably amount to around L70
 
Bloodstock: this 1 day festival is held in Derby on August 31st. This year it
is made up almost exactly of bands who are doing Wacken i.e. lots of power
metal and quite a bit of very heavy stuff. And absolutely no chuggawheee.
Oli Wade offered to arrange transport to this. The number of times trains
stopped between Birmingham and Liverpool was explained by Emma.
Elizabeth complained about the price of a return ticket to Derby.
 
Clubnights: Emma wants to get organised to travel to some of these over the summer. Several options were discussed.
 
12) Website
Oli has put up the pretty pictures of the committee. Elizabeth pointed out
that when she clicked on the one of Oli the computer said 'access denied'>
Baz e-mailed -committee to say that this was in contrast to all other
evidence. Admittedly he didn't say it at the meeting, but it was still crying
out to be minuted, and it would have been mentioned at the meeting if I'd
caught the 8.15 bus.
 
Emma said that she was too pissed last week to remember to mail a list of
past event to Oli. She'll do it this week. Oli should check if Elise has any
details too.
 
At some point Elizabeth needs to mail the final, corrected versions of the
minutes to Oli, to replace the original ones. As plain text. Preferably
managing to format them properly this time.
 
ACTION: Emma to mail some past events to Oli.
Oil to mail Elise and ask if she ahs any.
Elizabeth to get copies of corrected minutes to Oli.
 
 
13) CD library
This was reported to be in Andy H's junk room, apparently along with
Emma's bike and Elise's paddling pool. Ben should have it; this will be dealt
with soon.
 
14) Decks
Andy still has these. Andy will deliver them to Ben tomorrow evening at
Christ's.
Elizabeth asked if he had a book about the history of Italian opera. He has
one. That's good.
 
Jester still hasn't booked a venue for his party, so his borrowing the decks is
 
still up in the air.
 
15) Membership books
Andy has still got the one he unexpectedly found in his pocket. He will bring
it on Thursday, also a book about the history of Italian opera.
 
Oli asked what event was happening on Thursday. Baz put his head in his
hands.
 
Baz mentioned that the cycling of books needs to cycle through the treasurer
so that he can record the amount of money taken in membership accurately.
Next time the books cycle he shall be included.
 
ACTION: Andy to produce the membership book which the Secretary lost
when drunk.
 
16) Baz to kill anyone present who didn't go to the Strawberry Fair
This event was advertised last committee meeting. However Baz did not kill
any members. He said that sentence was deferred; anyone who didn't come
to the MayBrawl was to be killed instead. Oliver was instructed to buy a
RockSoc cricket bat for the President to kill members who failed to attend
RockSoc events.
 
Jimmer said that he favoured making paté as a method of controlling the members.
 
17) AOB
Oliver suggested a committee group hug. Baz vetoed this. In a very
presidential sort of way.
A Genesis tribute band have been e-mailing Emma a lot. They seem to think
that we want to publicise them. It was agreed that we will put something on
-announce.
 
Emma and Mr Clark (of the Calling) will find out about the re-opening of
the Q and if they will offer us good prices. At present the soundproofing is
running behind schedule.
